Stakeholder Evaluations of Vendors - Examples?

Hi there! This week, we narrowed down our long list of platform vendors and will be commencing with the “short list” demos next week. For this next round, the core project team will be inviting additional stakeholders to participate and provide feedback. Since we are adding additional “cooks in the kitchen,” and for good reason (!), we are trying to think of organized methods in which we can gather and consolidate feedback in a consistent, process-oriented way. We have a call set up before the first demo to review who the finalists are, what the agenda flow will look like, as well as what we are specifically asking from them as demo participants/judges. This way, everyone is on the same page and knows what to expect.

Does anyone have any experience with this? If so, did you use a standard evaluation form to gather feedback from the stakeholders? What information did you ask for?

Yes, we’ve done this many times.

It varies in the setup, but typically it would be developing a defined list of requirements with the client. Then assigning a weighting score to each feature (some features are clearly more important than others) and then developing a score of 1 to 5 based upon the vendor responses/research. These days it’s easier because we’ve been through the process many times and know the capabilities of each vendor pretty well.

Essentially, you have the vendors across the top, criteria on the left, weighted scores, answers from each vendor in each column. On the second sheet you have the 1 to 5 rating, follow up questions to ask, and any other additional notes.

Based upon that you can easily figure out the best vendor to use.

Thanks @richard_millington - we actually have done that very thing for the long list. However, now that we are bringing in our stakeholder group, we don’t want them to go through the same exercise as it wouldn’t be value-added. Rather, we are looking for ideas around what type of feedback we should ask for from this stakeholder group now that we have the requirements information? Hope this clarifies and makes sense.
